The committees of the Black Alumni Group are a critical part of the organization’s infrastructure and one of the most valuable ways that members can contribute to ensuring BAG has a strong foundation for years to come.

Scholarship Committee

PURPOSE AND SCOPE

First established in 1991, the Scholarship Committee oversees assistance to Black undergraduate students through scholarship money as budgeted by the BAG Executive Committee. The goal of the committee is to review and select recipients for the following annual awards:

  1. Support Black Undergraduate Education (SBUE) Scholarship Program assists Black undergraduate students at Southern Illinois University Carbondale. The amount of the scholarship is determined by several factors, including investment earnings of the endowment and donations received. Grants are awarded in the fall semester.
  2. John Holmes Memorial Bridge Academic Grants helps Black undergraduate students at Southern Illinois University Carbondale to bridge the financial gap for their expenses during the semester, such as tuition, fees, books, lab fees and required supplies. Grants are awarded in $500 increments once a semester.

CHARGE OF THE SCHOLARSHIP COMMITTEE

  1. Coordinate the application, delivery and selection process for scholarships, including:
    1. Promote and disseminate applications for the SBUE and the John Holmes Memorial Bridge Academic Grant scholarships
    2. Review all applications and score them in a timely manner according to the directions of the committee chair
    3. Discuss applications and associated scoring via conference call or electronically, at the direction of the committee chair
    4. Make final scholarship decisions based on a set criteria with the final approval from the BAG President

SELECTION, COMPOSITION AND SIZE OF THE COMMITTEE  

  1. Scholarship Chair: The Chairperson for the scholarship committee is appointed by the President and is responsible for the overall coordination and direction of the scholarship program.
  2. Scholarship Committee Members: The Scholarship Committee members shall assist the Scholarship Committee Chair in the following roles:
    • The Treasurer shall serve as an ex officio member of the Scholarship Committee
    • A representative, as appointed by the BAG president, from the following groups shall serve as members of the committee: The Black Affairs Council, Black Graduate Student Association, Africana Studies Department, a representative from the Black faculty and staff, and a representative from the SIUC Black administration
      • To avoid conflicts of interest, student representatives may not serve on the committee if they have submitted an application for either scholarship
      • It is the responsibility of the student leadership of the Black Affairs Council and Black Graduate Student Association to identify someone in good standing to serve on the committee
  3. Committee Term: All committee members’ terms align to the biennial terms of the Black Alumni Group Executive Officers. Committee membership is determined by the incoming leadership. All members, excluding the Treasurer of the Black Alumni Group, serve at the pleasure of the Executive Committee

COMMITTEE MEETINGS

The committee meets as needed to select scholarship recipients.

FINANCIAL RESPONSIBILITY

The committee shall not spend any money on administering the grant.

Ad Hoc Bylaws and Governance Committee

PURPOSE AND SCOPE

The Bylaws and Governance Committee is an ad hoc committee created to independently review and make recommendations to revise the bylaws and board governance policies of the SIUC Black Alumni Group. The term of this ad hoc committee will run from September 2017 to September 2018. The duties of the committee include, but are not limited to:

  1. Reviewing member requests for bylaw changes
  2. Reviewing formal votes past meeting occurrences
  3. Presenting recommendations of bylaw changes to the general membership as specified, during the 2018 informational meeting as scheduled by the Black Alumni Group Executive Committee
  4. Serving as consultants on the interpretation and implications of the administrative procedure bylaws and board governance policies
  5. Reviewing all formal actions and minutes taken during the 2015-17 term of the SIUC Black Alumni Group to ensure consistency and follow through

SELECTION, COMPOSITION AND SIZE OF THE COMMITTEE

The Black Alumni Group Governance Committee Chair shall be appointed by the President and the committee members shall be appointed by the chair.

Fund Development Committee

PURPOSE AND SCOPE

In order to further the mission of the Black Alumni Group, to support education for Black SIUC students, the Fund Development Committee (FDC) is charged by the President, and works with the Treasurer to determine, plan, and fulfill fundraising goals for the Black Alumni Group. The Treasurer staffs the committee and reports to the Executive committee on its activities and recommendations

RESPONSIBILITIES

The Executive Committee, in consultation with the Fund Development Committee, shall approve fundraising goals. The FDC provides counsel and serves as a sounding board for the Executive Committee to develop and implement fundraising plans to meet financial goals.

Elements of the work of the FDC include:

  1. Serve as an ambassador for philanthropic development
  2. Brainstorms and vets fundraising protocols and initiatives as part of the Board’s strategic and long‐range planning and budgeting processes
  3. Assists Executive in formulating and implementing annual fund plans,
    • including identification
    • Reviews plans set forth by the Executive Committee and conference representatives/leadership
    • Assists the Executive Committee in engagement and cultivation of members of the Black Alumni Group regarding contributing time and resources to BAG’s financial drives;
    • Actively participates in fundraising events and activities
    • In collaboration with the Executive Committee works to establish and maintain best practices regarding recognition and stewardship scholarship awardees
    • In partnership with other BAG committees, work to raise the sights of all constituents regarding the importance of building awareness and engagement of BAG in order to increase reunion attendance and financial support
    • Provide counsel to the the Executive Committee regarding branding and messaging as it pertains to attracting and securing financial support from all constituencies (i.e., individuals, foundations, governmental agencies, and businesses)

SELECTION, COMPOSITION AND SIZE OF THE COMMITTEE

  1. Committee Chair: The Chairperson for the FDC committee is appointed by the President and is responsible for the overall coordination and direction of the Fund Development Committee.
  2. Fund Development Committee: shall consist of
    • Treasurer of the Black Alumni Group
    • An Alumni Association liaison to the Board (a member of the SIUC Alumni Association who also serves on the FDC)
    • Representatives from the Black Affairs Council
    • Representative from the Black Graduate Student Association
    • Representative of the Black Faculty and Staff, preferably from SIUC College of Business
    • Ad hoc members may include a member of the SIU Alumni Association Board of Directors, or members of other BAG committees, as necessary, especially when the FDC’s work may have an impact on work beyond its own scope of responsibilities
  3. Committee Term: All committee members’ terms align to the biennial terms of the Black Alumni Group Executive Officers. Committee membership is determined by the incoming leadership. All members excluding the Treasurer of the Black Alumni Group serve at the pleasure of the Executive Committee
  4. Members of the FDC will bring knowledge and/or experience in the areas of areas of non‐profit fundraising or advancement. Members may have direct experience as volunteers or staff members
  5. Experience in any and all of the following areas preferred:
    • Annual, major and planned giving, campaign planning and execution, foundation and governmental relations, event planning, corporate sponsorships, stewardship and recognition, and marketing.

Communications/Marketing Committee

PURPOSE AND SCOPE

The Communications and Marketing Committee is a standing committee that oversees the strategic communications and marketing plan to promote mission and vision; siucbag.com; Facebook Page and Community Group; and Yahoo Group Mailing Lists. The committee provides guidance on the implementation of the marketing and communications plan, which includes:

  1. Maintaining the integrity and increase the usage of BAG brand
  2. Assisting in the continuous develop of the website
  3. Facilitating and promoting partner participation to increase membership value, benefits, and satisfaction
  4. Providing content ideas for partnership wide communications as needed
  5. Promoting best/promising practices through various media modes
  6. Identifying opportunities to partner with existing or new public events related to the BAG mission.

SELECTION, COMPOSITION AND SIZE OF THE COMMITTEE

  1. Committee Chair: The Secretary shall serve as Chairperson
  2. Committee Member: The Communications and Marketing Committee members shall assist the Scholarship Committee Chair with:
    • Serves in an advisory role to guide the committee
    • Expresses ideas and provides input
    • Actively participates in meetings, contributing to the discussion, brainstorming and sharing innovative ideas
    • Reviews material and provides input for improvement
    • Serves as internal/external linkages for BAG to open doors to further the organization’s mission and vision.
    • Committee shall consist of general membership; subcontract with SIUC NABJ, SIUC Blacks in Business, Black Affairs Council
  3. Committee Term: All committee members’ terms align to the biennial terms of the Black Alumni Group Executive Officers. Committee membership is determined by the incoming leadership. All members excluding the Secretary of the Black Alumni Group serve at the pleasure of the Executive Committee.

The committee shall not spend any money on administering the grant.

Membership Recruitment and Relations Committee

PURPOSE AND SCOPE

The purpose of the Membership Recruitment and Relations Committee is two-fold. First, it is to attract and retain members in the Black Alumni Group. Second, it is to highlight and promote all BAG member owned business. The Membership Recruitment and Relations Committee will coordinate internal and external activities with the Executive Committee to identify and recruit potential Association members. The recruitment effort may also include:

  • Advising BAG Executive committee on all promotional activities and campaigns related to membership recruitment and retention
  • Serving as a liaison to chapters explaining member benefits monitoring membership trends
  • Reviewing and evaluating BAG member benefits
  • Developing membership promotional materials
  • Aid the Financial Development Committee to solicit advertising from small business
  • Working with the Alumni Association to acquire discount and free memberships for recent SIUC Black graduates

The Membership Recruitment and Relations Committee shall also be responsible for coordinating the mentoring efforts of BAG and BAG chapters. This coordination may include:

  • Publicity for mentoring recruitment to ensure optimal matches between mentors and mentees
  • Tracking of formal mentoring relationships, when possible, to allow appropriate follow up
  • Gathering data from current and former participants to aid in critical evaluation of mentoring efforts
  • Development of networking opportunities for BAG mentors and mentees
  • Service as a clearinghouse of mentoring-related literature and information

  1. Committee Chair: The Vice President shall serve as Chairperson
  2. Committee Member: The Membership Recruitment and Relations Committee Chair with:
    • Serves in an advisory role to guide the committee
    • Expresses ideas and provides input
    • Actively participates in meetings, contributing to the discussion, brainstorming and sharing innovative ideas
    • Reviews material and provides input for improvement
    • Serves as internal/external linkages for BAG to open doors to further the organization’s mission and vision.
    • Committee shall consist of only representative from BAG general membership.
  3. Committee Term: All committee members’ terms align to the biennial terms of the Black Alumni Group Executive Officers. Committee membership is determined by the incoming leadership. All members excluding the Secretary of the Black Alumni Group serve at the pleasure of the Executive Committee.

COMMITTEE MEETINGS

The committee meets as needed to select scholarship recipients.

The committee shall not spend any money on administering the grant.

Campus Relations Committee

PURPOSE AND SCOPE

The purpose of this committee is to bring the Black students, faculty and staff of SIUC together. This committee shall do so by putting on events such as the Pre-Commencement Ceremony, thereby promoting good communication among the aforementioned groups. The Campus Relations Committee plays a primary role in blogging for siucbag.com as it is the primary way for to stay in touch for the general membership of BAG.

  1. Committee Chair: The Chairperson shall be appointed by the President
  2. Committee Member: The Campus Relations Committee members shall assist the Campus Relations Committee Chair with:
    • Serves in an advisory role to guide the committee
    • Expresses ideas and provides input
    • Actively participates in meetings, contributing to the discussion, brainstorming and sharing innovative ideas
    • Contributes a state of affairs to siucbag.com blog
    • Serves as internal/external linkages for BAG to open doors to further the organization’s mission and vision.
    • Assist BAG in awarding student RSO’s
    • Informs executive committee of policies and emergencies at SIUC related to Black students, faculty, staff, and Carbondale community.
    • Committee shall have a representative from Africana Studies, BAG general membership, Black Affairs Council, Black Graduate Student Association, Black Faculty and Staff, Black administration
  3. Committee Term: All committee members’ terms align to the biennial terms of the Black Alumni Group Executive Officers. Committee membership is determined by the incoming leadership. All members excluding the Secretary of the Black Alumni Group serve at the pleasure of the Executive Committee.

Institutional Research Committee

PURPOSE AND SCOPE

Institutional Research is charge with serving as the collective memory of Black life at SIUC and the Black Alumni Group. Institutional research works with SIUC archivist to archive BAG documents, pictures, and artifacts as deemed worthy by the committee and SIUC archivists.

SELECTION, COMPOSITION AND SIZE OF THE COMMITTEE

Institutional research is staffed on a volunteer basis.

  1. Committee Term: All committee members’ terms align to the biennial terms of the Black Alumni Group Executive Officers. Committee membership is determined by the incoming leadership. All members excluding the Secretary of the Black Alumni Group serve at the pleasure of the Executive Committee.

SIUC Black Greek Council

PURPOSE AND SCOPE

The Black Graduate Greek Council is an independent Council composed of the Nine Black Greek Letter Organizations (Divine Nine) Alumni Chapters of Carbondale, Illinois. The Black Alumni Group works with the Black Graduate Greek Council on all Black Alumni Greek activities.

SELECTION, COMPOSITION AND SIZE OF THE COMMITTEE

The Black Graduate Greek Council is an independent organization as such organized independently of the Black Alumni Group.
